Madison Public Library Foundation seeks a Book Festival Event Coordinator to work with the Madison Public Library Foundation Director and Madison Public Library staff to organize, plan, implement, and promote an annual public book festival in Madison. The Event Coordinator will partner with local organizations and coordinate supporting events throughout Madison. The book festival will support the library's mission to celebrate ideas, promote creativity, connect people and enrich lives through an emphasis on literature, reading, and the written word. RESPONSIBILITIES - Design, plan and organize the first book festival organized by Madison Public Library and Madison Public Library Foundation - Secure, schedule, and coordinate authors and presenters, including contract negotiations, travel and lodging arrangements, and logistical details of presentations - Work closely with publishers and authors to feature the year's most compelling books at festival events - Create and implement a communications plan to promote the festival and its mission, including managing media relations and communications. - Write, edit and coordinate design of festival web site and promotional materials - Direct the work of support staff and volunteers - Coordinate fulfillment of sponsor benefits in conjunction with staff from Madison Public Library Foundation - Maintain excellent written and verbal communication with Madison Public Library and Madison Public Library Foundation staff and other partner organizations QUALIFICATIONS A well-qualified applicant will: - Have at least three years of responsible experience with event planning and management on a large scale, including events of 1000+ attendees - Be able to work with partner organizations and volunteers to create programming that will appeal to a wide range of audiences - Demonstrate knowledge of planning, program administration, negotiation, marketing, promotions, and evaluation principles, techniques, and methods applicable to customer relations and event planning - Be able to maintain a project budget - The ability to both work efficiently and independently on multiple projects and to work collegially with library staff and festival partners - Have demonstrable experience in database management and recordkeeping - Be able to meet the transportation and mobility requirements of the position. COMPENSATION This is a contract position paying $39,600. The position begins March 1 and ends December 15, 2013. It is expected that the Coordinator will work a minimum of 1200 hours over the length of the contract.
