Publishing an Agenda

Once you have generated an agenda there are a number of steps to take to get ready to publish the agenda.

Create a review draft

To create a draft copy for review, click the Reports button (upper right).

Select Agenda. The agenda reports window displays.

  1. Review the configurations for the report in the lower left corner of the window and modify as needed.
  2. Verify that the Destination is set to Acrobat Format (PDF) and click Run (top left of the window). 
  3. Legistar will create a pdf file of the agenda.

Refer to the information and instructions in Generating  an Agenda if you need to edit the agenda further.

Publish the agenda

Once the agenda is finalized and ready to publish, follow the steps below to change the agenda status and then publish to the public Legistar calendar.

Change agenda to approved

  1. Click the Calendar button (upper left corner of the control window). Legistar displays the list of scheduled meetings for the committee, with the agenda that is in progress selected.
  2. Change the *Current Status from Draft to Approved.

Publish agenda to InSite (Legistar calendar)

Click the Agenda button to return to the agenda details. Click the Reports button (upper right).

Select Agenda. The agenda reports window displays.

  1. Review the configurations for the report in the lower left corner of the window and modify as needed.
  2. Change the Destination selection to Publish To InSite (PDF) and click Run (top left of the window). 
  3. Legistar will publish the approved agenda to the Legistar calendar.

NOTE: During the publish process, Legistar will open a preliminary copy of the published agenda in your default browser. If you plan to share a link to the published agenda, do not share the address link to this preliminary copy. Instead, open the Legistar calendar for your committee, wait and refresh your browser until you see the Agenda populate for the meeting. Share the link from the calendar view in Legistar.

Continue with the instructions included in Agendas in Knowledge Base to add or edit the meeting to the meeting schedule and upload the cross-reference list.
